Most businesses don't set out to build a patchwork of spreadsheets, sticky notes and disconnected tools — it happens gradually, one workaround at a time, until the systems meant to support the business start actively slowing it down.

Here are five signs it's time to consider something built specifically for how you work.

1. Your team re-enters the same data in multiple places. If a customer's details live in your CRM, your invoicing tool and a spreadsheet — and someone has to update all three by hand — you're paying a hidden tax in time and errors every single day.

2. Spreadsheets are held together by fragile formulas only one person understands. When a single sheet becomes business-critical infrastructure that breaks if the wrong cell gets edited, it's no longer a spreadsheet — it's an unsupported piece of software.

3. You're stitching together three or four tools with manual exports and imports. Off-the-shelf tools are great in isolation, but the gaps between them are where time disappears.
